HIC MBS Fees for November 2008

Click here for a Print Friendly Version of these instructions.

MediFlex is capable of automatically loading the new MBS fees from a file supplied by the HIC, which can be downloaded here. Once you have transferred the fees file down from our website to your own system, they will then be available to install into MediFlex. OBTAINING A COPY OF THE FILE DOES NOT AUTOMATICALLY INSTALL THE FEES INTO YOUR MEDIFLEX FEE TABLE – THEY HAVE SIMPLY BEEN STORED READY FOR YOU TO INSTALL AT YOUR CONVENIENCE.

Getting the Fees file down onto your System

Note: First, exit out of ALL MediFlex sessions on ALL computers (including your own).

You should "Run" or "Open" the file, rather than "Save" it. Running or opening it will automatically place it in the correct folder for you. If you "Save" it, you will have to remember where you saved it, and you will then have to run it by double-clicking on it. Click here to download the Nov 2008 Fees file.

Applying the new fees once downloaded

To update the fees from the HIC file once you have stored them on your system as per the above instructions, please carefully follow the steps below :-

  1. In MediFlex, choose “Edit/Items&Fees”

  2. Clear the screen <F9>

  3. Click on the “Update” button (or press <F7>)

  4. Choose which fees from the HIC data you want loaded into your various fee categories (Govt, Medicare, Private, etc). This is done by simply clicking one radio button for each of your fee categories, to indicate which fees from the HIC data you would like loaded into the NEXT fee column of your Fee Schedule Table for that Fee Descriptor. Note: Due to the fact that the WorkCover and T.A.C. fees were not available in reasonable time, this process cannot be used to update them automatically. Therefore the only fees you can import are MBS100%, MBS85% and MBS75%. If a particular fee you use has no direct correspondence with any of these three MBS fees, make sure the “Skip” button is clicked for that Fee (for instance, a “Private” fee or a “Discount” fee would not normally be part of this update process – those types of fees would typically be updated manually).

  5. Make sure the “Next” button in the left-hand “Setups” column is clicked on. This will place the fees you are about to load into your “Next” fee column, enabling you to prepare in advance for the new fees, knowing they will not immediately become effective. (See item 7 for more details on how to make them active on 1st Nov). The rest of the settings on this panel should be OK.

  6. Click the “Run” button, or press <F5> to start the loading process.

  7. To have these “Next” fees automatically come into force on 1st Nov, choose “Edit/Items&Fees” again, and click Fee Date (or press <F8>). This will prompt you for a date on which you would like the “Next” fees now stored in your table to become applicable. On the entered date (or next time you log on to MediFlex if the date has already passed), MediFlex will automatically cut over to the new fees. Your new fees become "Current", and your "Current" fees become "Previous".

  8. DO NOT RUN THIS LOAD PROCESS MORE THAN ONCE UNDER ANY CIRCUMSTANCES. PLEASE CONTACT US IMMEDIATELY IF YOU FEEL YOU HAVE STRUCK A PROBLEM WITH THIS PROCESS.

  9. For Items unable to be automatically updated (such as TAC and WorkCover), or special items not on the MBS Schedule, you will need to amend those fees manually. At the completion of the loading process, you will see a list of items on the screen. These are your "non-standard" item numbers, that are not recognised as belonging to the published MBS list. We suggest you place your manually amended fees in the “Next” column, so that they will also swap in on the desired date, along with the MBS fees. To allow you to manually enter figures into the "Next" column, simply press the Column key (F10).
